Supplier payments

Supplier payments with approvals, records and reconciliation built in

Most suppliers are paid late because the approval sits in somebody’s inbox, or paid twice because nobody can tell what was already sent. Kiotapay routes every supplier payment through the right approvers, pays through the channel the supplier prefers, and files the record against your books automatically.

Pay the way your suppliers want to be paid

Mobile money, bank transfer, single payments or bulk runs, and cross-border payouts in local currency with live FX and no hidden markup.

Approvals that stop duplicate and off-policy payments

Route by amount, category, vendor or team. Spend policies can require receipts or invoices before approval and block unapproved vendors outright.

  • Multi-level approval chains based on amount or category
  • Approved and blocked vendor lists enforced automatically
  • Invoices and receipts attached to the payment itself
  • Full audit trail of who requested, approved and paid

A supplier directory your whole team can see

Keep contact details, payment terms and payment history in one place, and use spend data per supplier to negotiate better terms.

How it works

  1. 1

    Add your suppliers

Capture payment details and terms once in a central directory.

  2. 2

    Route the payment

Requests go to the right approvers automatically, with the invoice attached.

  3. 3

    Pay and reconcile

Pay by mobile money or bank, then let the transaction code itself and sync to QuickBooks, Xero or your ERP.

Supplier payments FAQs

Can we pay suppliers in other countries?
Yes. Cross-border payouts are made in the recipient’s local currency with live FX rates, and every payout shows the amount sent, the fees and the amount received.
How does this prevent duplicate supplier payments?
Payments carry their invoice and approval record, so an invoice already paid is visible to whoever reviews the next request rather than buried in an inbox.
Does supplier spend sync to our accounting system?
Yes. Transactions are auto-coded and synced to QuickBooks, Xero and other ERPs, with APIs and webhooks for custom workflows.
